Roles and what they are used for

In most cases, not all users should have full access rights to all parts of a program. Roles allow you to restrict the access rights of users and to specify exactly which role has access to which part of the software. 

Create a role

You create a new role in Lumiform Desktop by clicking on the tab Administration → Roles and then on the button "+ Add role". 

Next, give the role a unique name, e.g. "Regional Manager" and select the permissions that this role should have. With a click on "Create role" you have created a new role.

Meaning of the individual permissions

Manage sites

With this permission users can edit, add and delete sites in Lumiform Desktop.

Manage billing

With this permission, users can edit, cancel and view the subscription in Lumiform Desktop. You can also add new user licenses at any time or delete user licenses at the end of the billing period.

Manage roles

With this permission users can edit roles and their permissions in Lumiform Desktop, as well as add new roles or delete existing roles.

Manage categories

With this permission users can view, edit, add and delete categories in Lumiform Desktop.

Manage templates

With this permission, users can create, delete and edit checklists in Lumiform Desktop

Manage users

With this permission users can edit, add or delete users in Lumiform Desktop.

Edit own inspections

With this permission, users can later change the answers of their own done inspections in Lumiform Desktop and in Lumiform Mobile.

Edit all inspections

With this permission, users can later change the answers of all done inspections in Lumiform Desktop and Lumiform Mobile. This means that they can also subsequently change the done inspections of other users.

View all inspections

With this permission, users can view all inspections.

Conduct ad hoc inspections

With this permission, users can conduct ad hoch inspections.

View sensor reports

With this permission, users of organizations with hardware can view the sensor reports in Lumiform Desktop.

Raise issues

With this permission, users can raise issues in Lumiform Mobile and Lumiform Desktop.

Select assignee for reported issues

With this permission, users can select an assignee when raising an issue in Lumiform Mobile and Lumiform Desktop.

Manage own issues

With this permission, users can view and edit their own issues in Lumiform Mobile - i.e. they can change the title, description, status, assignee, priority, due date and the suggested corrective action. In addition, users can delete their own issues in Lumiform Desktop.

Manage all issues

With this permission, users can view and edit the issues from all users and sites in Lumiform Mobile - i.e. they can change the title, description, status, assignee, priority, due date and the suggested corrective action. Additionally, users can delete all issues in Lumiform Desktop.

Manage own issues for the site

With this permission, users can view and edit the issues of all users of the sites assigned to them in Lumiform Mobile - i.e. they can change the title, description, status, assigned assignee, priority, due date and the suggested corrective action. In addition, users can delete issues of all users of their assigned sites in Lumiform Desktop.

Manage assignees solved issues

With this permission, users can edit their own already solved issues in Lumiform Mobile again or assign them to other users. In addition, users can delete their own already solved issues in Lumiform Desktop.

View analytics

With this permission, users can view the Analytics area in Lumiform Desktop.

View all inspections

With this permission, users can view done inspections of all users in Lumiform Desktop and Lumiform Mobile.

Conduct open inspections

With this permission, users can conduct always open inspections in Lumiform Mobile in addition to the inspections assigned to them (ToDo). These inspections can be found in Lumiform Mobile under Checks.

Assign a role to a user

To assign a role to a user, go to Administration → Users in Lumiform Desktop and open the respective user by clicking the name.

In this view, click on the line under "Role" and select the desired role by clicking on it. To save the changes, click on "Update user".
