How to connect Lumiform to Zapier

Connect Lumiform to Zapier using Webhooks to automate actions between Lumiform and thousands of other apps — no code required.

What you need

  • Plan requirement: This feature is available on Enterprise plans.
  • Permissions: Admin permissions in Lumiform to access webhook settings.
  • Third-party accounts: An active Zapier account (subscription may be required depending on usage).

Step-by-step setup

  1. Sign in to your Zapier account

  2. Start a new Zap

    • Click “Create Zap” in the Zapier dashboard.
  3. Set up the trigger

    • Choose “Webhooks by Zapier” as the trigger app.
    • Select “Catch Hook” as the event.
    • Zapier will generate a unique Webhook URL for this Zap.
    • Copy this Webhook URL.

  4. Add the Webhook URL to Lumiform

    • In Lumiform, log in as an Admin.
    • Go to Administration > Webhooks.
    • Click “Add Webhook” and paste the Webhook URL you copied from Zapier.
    • Select the event(s) that should trigger your Zap (e.g., Inspection completed, Action resolved, Form approved).
    • Save the webhook.

  5. Send a test event from Lumiform

    • Perform the selected event in Lumiform (e.g., complete an inspection).
    • In Zapier, check for the test webhook data to be received successfully.
  6. Set up your Zapier action

    • Choose the app you want to connect to Lumiform (e.g., Slack, Gmail, Google Sheets).
    • Design what should happen when the webhook is triggered.
  7. Finish & enable your Zap

    • Give your Zap a name.
    • Turn your Zap on to start automating.

Example use cases

  • Automatically send an email: When a Lumiform inspection is completed, Zapier sends a detailed email to your team.
  • Log approved forms: When a form is approved in Lumiform, add a row to a Google Sheet.
  • Trigger notifications: Instantly notify a Slack channel when an action is resolved.

Troubleshooting: common errors and fixes

  • Zap isn’t triggering: Ensure your webhook URL is correctly pasted in Lumiform and the Zap is turned on in Zapier.
  • No data or missing details: Remember, Lumiform webhooks send an event type and record ID. If you need more data, retrieve it from the Lumiform Public API using the ID.
  • Duplicate Zaps firing: Double-check that you don’t have multiple Lumiform webhooks pointing to the same Zap.
